This Privacy Policy applies to all individuals and entities who access or use the Platform, including but not limited to volunteers, NGOs, partner organisations, and visitors (“Users”). It governs the collection and handling of information in both online and offline interactions connected to the Site. This Policy does not apply to third-party websites, applications, or services that may be linked from or integrated with the Site. We are not responsible for the privacy practices or content of such external websites, and users are encouraged to review the privacy policies of those entities separately.
When you access the Site, we may collect and process personal data that (a) you actively submit to us, and (b) we record. We may process your personal data with or without automatic means, including collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure, or destruction of your personal data.
Third party organizations using our sites may also collect your personal information directly from you when you volunteer with them.
a. Actively submitted data: You may submit personal data to us when you register for an account on our site, upload or share through our sites, or otherwise use our services. You also may submit personal data to us when you upload or share through our sites, or otherwise use our services. This may include a variety of information including (i) contact information like name, email address, mobile number, postal address, and so on; (ii) username and password, (iii) profiling information such as profile photograph, volunteering preferences, skills, cause interest, availability, professional background, volunteering background, and any other information you voluntarily provide and (iii) any correspondence between you and us. For organisations and NGOs, we may collect entity-specific data such as the organisation’s name, registration details, contact persons, project descriptions, and other relevant operational information necessary for enabling volunteering opportunities.
We may display some of this information on our site publicly for viewing by all registered users; some of this information would be provided to organisations looking for volunteers to review and match their requirements.
The provision of personal information is necessary to facilitate some of the features of our sites. If you do not provide your personal information, you will not be able to avail yourself of some of the functionality of the sites, including registering for an account and volunteering for service projects through our sites. In each case you will know what personal data you provide to us because you actively and voluntarily submit the data.
When you register with our Site we require your email address that may be used for all communications ensuing from your activity on the Site. We reserve the right to send you emails regarding volunteer announcements, user account messages, and Privacy Policy or Terms of Use changes. We may also contact you by telephone solely in connection with the services provided by us. If you would rather not receive phone calls from us, please remove your phone number from your profile as providing your cell phone number to VolunteerTribe, or posting the number on your profile on the VolunteerTribe would be deemed to be express consent to receiving informational text messages regarding your VolunteerTribe account. Please be aware that you may opt out of the text messages by notifying VolunteerTribe at hello@volunteertribe.com or through the text message itself. If you wish to be removed from any communications simply respond to the link provided in the email you have received or email us at hello@volunteertribe.com
b. Data we collect automatically: When you visit and interact with the Site, certain information may automatically be collected like log files which may include but is not limited to the internet protocol (IP) address your computer, browser type, internet service provider and operating system details, language preference, any referring web page you were visiting before you came to our site, the date and time of each visitor request, information you search for on our resources to analyse trends, administer the Site, analyse bugs, and gather broad demographic information.
In addition, our sites include social media features, such as the Facebook, Instagram, LinkedIn, WhatsApp button, and widgets, such as the "Share this" button or interactive mini-programs, that run on our sites. These features may collect your IP address and information about which page you are visiting on our sites, and they may set a cookie to enable the feature to function properly. We may also access information from third party sources and parties like social networking sites where we will collect any information that you make available from your accounts on those websites. Cookies are parcels of data which contain information that can verify you anonymously, which are retained on your hard drive when you visit websites. Cookies collect information such as URLs you came from and go to, your browser and operating system information, your internet protocol address, your mobile provider, your mobile device and your ISP. Cookies will enhance your online experience by allowing you to login without entering your online credentials each time you visit the Site by retaining your login details and password and storing recent searches on the Site to enable a quicker interface on the Site. We use cookies to maintain your online identity between various sessions on the Site in order to customise your preferences based on your activity on the Site. Data collected by other organisations: Organizations using our sites may also collect your personal information when you volunteer with them, including your name, date(s) of service, duration of service, and type of service. They may share this information with us so that we can create a record of your volunteering experience through us. With your permission, such organizations may also take visual or audio images of you while you are volunteering and submit them to us as a Success Story that is posted on our sites or that we may use in other media or formats to promote VolunteerTribe.
VolunteerTribe may use personal information to register You as a user on the Site, operate and administer the Site, facilitate interactions between volunteers and NGOs, to recruit volunteers for opportunities, conduct searches for potential volunteers, to communicate with partners, and enhance the quality and relevance of our Services. Specifically, we may use your data to verify your identity, process registrations, manage accounts, communicate essential information, provide recommendations for suitable volunteering opportunities, seek your feedback, customize features or content on our tools or services, allow organizations you choose to volunteer with to contact you to help fulfill our sites’ mission or to seek your voluntary feedback, and ensure the security and integrity of the Site. We may also use your data to analyse user behaviour, evaluate service performance, conduct research, improve functionality, and develop new features. Where required, we will use your contact details to send service notifications, updates, newsletters, or promotional materials, subject to your communication preferences and applicable consent requirements. We will not process your personal data for purposes incompatible with those described herein, unless required by law or authorised by you.
We regard your personal information as confidential and will not disclose it to any third party, except in the following circumstances (or in other instances where we specifically inform you and obtain your prior consent):
a. Organizations: When you choose to apply for a volunteering opportunity with an organization, or when you volunteer with an organization, we may provide them with your personal information, including your name, so that they contact you about the project and coordinate your service. An application to a volunteering opportunity in a post for a volunteer opportunity would be deemed to be affirmative consent and we will disclose your personal information with the matched party.
b. Third-party providers: We may provide personal data to third parties for their processing in performing functions on our behalf such as operational functions and as data processors (for example, maintenance, security, data analysis, hosting, measurement services, data-driven social media messaging, surveys, and so on). In such instances, as part of our policy, we seek to work with companies who also have a high work ethic and share our commitment to privacy. In accordance with this Notice and applicable laws, the providers will be contractually required to protect personal data from additional processing (including for marketing purposes) and from transfer. We shall also strive to restrict how these suppliers or service providers may use or disclose the personal information to which they have access but we shall in no way be responsible for such third parties or their activities. As such, you explicitly agree to allow us to give your information to third party suppliers and service providers in order for us to provide service to you.
c. Unauthorised access: Certain personal information that you provide as part of the registration process on the Site such as name and location may be accessible and made public through search engines, crawlers, and other similar codes. Such factors are beyond our control and we disclaim that we cannot fully ensure that your personal information will not be disclosed to third parties.
d. Legal requirements: We may access and disclose your personal data, posts, online chats, content, or other submissions to any site if we have a good-faith belief that doing so is required by a subpoena, by a judicial or administrative order, or is otherwise required by law. Any User providing Personal Data is certifying that he/she is over the age of 13. As such, we do not collect or maintain Personal Data from individuals we actually know are under 13 years of age, and no part of our Site or Service is designed to attract people under the age of 13. Protecting the privacy of children is very important to us. Thus, if we ever obtain knowledge that a user is under the age of 13, we will take steps to remove that user's Personal Data from our databases and to prevent the user from utilizing the Site and the Service.

You can deactivate your account with the Site at any time by visiting the preferences page for your profile. When you deactivate your account, your user profile will be disabled, but your public comments will remain on the Site. The Site has no responsibility to take down, remove, or edit any of your public activities or any submissions that are a result of your public activities.
VolunteerTribe employs commercially reasonable technical, administrative, and organisational measures to protect personal data from unauthorised access, alteration, disclosure, or destruction. Such measures include encryption, access controls, secure servers, and periodic audits. However, no method of transmission or storage is entirely secure. By using the Site, you acknowledge and accept that complete security cannot be guaranteed and that you share information at your own risk.
The Site may contain links to third-party websites or services, including those that may have their own posted policies regarding the collection and use of your personal information. VolunteerTribe is not responsible for the content, privacy practices, or security of such third parties. Users are advised to review the privacy policies of external sites before providing any personal information.
